Outline

Integrate your Google account with the Intellum platform to be able to create Google Meet video conferences from within the platform and connect users to live, in-person events.

This article provides an overview of the features of the Google Meet integration and the requirements to integrate a Google account.

Things to note:

  • The integration requires authentication using a Google Workspace account with an admin role granting it access to Reports. The account must also have the Calendar and Google Meets apps enabled.

  • The Google Meet integration requires you to approve access as follows to authenticate:

    • View audit reports for your G Suite domain
    • See, edit, share, and permanently delete calendars
  • For attendance syncing, a user's email address must match the email on record in the Intellum platform

  • Google Meet events can only be created after the integration is set up. Existing events cannot be converted into Google Meet events

Features overview

Authorize Intellum with Google Meet to be able to create, manage, and launch Meet events within the platform.  Our Meet integration provides the following functionality:

  • Add Google Meet meetings through in-platform event creation
  • Create a calendar for Intellum events that can be shared in your Google Workspace
  • Add meetings in bulk via CSV
  • Syncs attendance between platforms one hour after event ends
  • Allows review of, and reporting on, the duration of a learner's attendance

Connect Google Meet

Unrestricted admin can integrate with Google Meet through the Apps tab in account Settings. Once connected, any Intellum users that have permission to create events can choose to create Google Meet events in the platform.

Follow these instructions to authorize Google Meet from within the platform:

  1. Navigate to account Settings in the expanded admin navigation.
  2. Select the Apps tab on the account Settings page to access App Settings.
  3. Scroll to find the Google Meet integration and click Authorize Google Meet.
  4. When prompted, log in with a Google Workspace account. The account must have Reports Privileges and access enabled for the Calendar and Google Meets apps
  5. When prompted, click Continue to connect Intellum and Google Meet.
  6. You are returned to the Intellum platform, now authorized to create Google Meet meetings as events.

Google Meet is now connected. The Apps page reflects the connection - as seen below:

Authorization Error

If authorization fails, you will see this error flag when you return to the Intellum Platform

If you receive the above error when attempting to authorize with Google credentials, you most likely do not have the appropriate Workspace permissions set in your Google Account.

Google Calendar creation

Because Google Meet meetings are scheduled through Google Calendar, adding the Google Meet integration to your Intellum account will create a new Intellum events calendar in your Google Workspace.

Like other calendars in your Google Workspace, this calendar can be customized to meet your organization's needs and shared across your organization, as needed.

Please note: Direct changes to the date, time/timezone, and/or Guests included in a Google Calendar event will not sync to the Intellum platform.

Remove Google Meet connection

Disconnect a Google account from the Intellum platform by following these steps:

  1. Navigate to account Settings in the expanded admin navigation.
  2. Select the Apps tab on the account Settings page to access App Settings.
  3. Scroll to find Goolge Meet and click the Remove Connection link to remove the connection.
  4. The platform will ask you to confirm the removal - click Ok.
