Evolve is a content authoring tool designed to help you quickly develop engaging, interactive learning content. Managed in Exceed features use our proprietary Evolve integration to allow you to create new Evolve content directly within the Intellum platform, jump to Evolve to edit and build your content, and return to Intellum to sync content and updates.

This article outlines the platform requirements for use of Managed in Exceed features in Evolve, outlines the key features, and walks you through the steps for creating, editing, and syncing Evolve content in the Intellum platform.

Requirements | Overview


Reach out to your Customer Success Manager or an Intellum representative when you are ready to enable Managed in Exceed features.

Enabling Managed in Exceed features in the Intellum platform requires:

  • An existing Evolve account with Appitierre
  • Your Evolve instance URL
  • Your Evolve API Key

Your Evolve instance URL and API key can be found in your Evolve Account Settings. Follow this path in Evolve to locate these items:

Account Settings > Global Settings > Integrations > Integration Keys

Evolve courses created through Managed in Exceed features have a 1 to 1 relationship with a single Exceed account.

Features | Overview


Managed in Exceed features combine the content management power of the Intellum platform with the content authoring power of Evolve to help you map out your learning journey while building engaging learner experiences.

Managed in Exceed features allow you to:

  • Create Evolve courses directly within the Intellum platform as stand-alone activities or as activities within a path

  • Link directly to an Evolve course from within the Intellum platform in order to build, edit, or update the course in Evolve

  • Sync the latest updates from an Evolve course from within the Intellum platform

Create an Evolve Course


With Managed in Exceed features enabled, you can create a new Evolve course as a standalone activity, or as an activity within a path.

Create an Evolve Course as a Standalone Activity

Follow these steps to create a new Evolve course as a standalone activity:

  1. Navigate to Content in the admin nav panel
  2. Click +New and choose Evolve Course.
  3. Give your new Evolve course a title.
  4. Use the Scheduled Activity setting to enable live events - if needed.
  5. Click Create.

Heads Up!

The locale for Evolve courses created in the Intellum platform defaults to English. Reach out to your Customer Success Manager or an Intellum representative for more information on translating Evolve content.


Create an Evolve Course as an Activity in a Path

Take advantage of the Intellum platform's Path functionality to build an entire learning journey by combining activity types, including Evolve course.

Follow these steps to create a new Evolve course as an activity within a Path:

  1. Navigate to Content in the admin nav panel.

  2. Select the Paths tab from the Content page.

  3. Create a new path or open an existing path.

  4. From the Compose tab, click +Add Activity and choose Create New Evolve Course.

  5. Give your new Evolve course a title.

  6. Use the Scheduled Activity setting to enable live events - if needed.

  7. Click Create.

The new Evolve course is added to the path. Select Go To Activity from the activity options to access the activity's Compose page and properties.

Edit an Evolve Course


Once you've created an Evolve course as a standalone activity, or activity within a path, you are ready to start building your activity content in Evolve.

Follow these steps to edit your Evolve course:

  1. Access the Compose tab of the Evolve course you wish to edit.
  2. Click Edit in Evolve.

Your Evolve course opens in a new tab and you are ready to begin building and editing your content in Evolve.

Heads Up!

Clicking Edit in Evolve should automatically sign you in to your Evolve account and open the course for editing. If you do not have an Evolve account, you will see a message stating that you are not yet registered.

Publish Settings in Evolve


Evolve courses created in the Intellum platform do not have a publish step in Evolve. When you're ready to publish, use the View Activity in Exceed link to open the activity in the Intellum platform and sync your Evolve course content.

Heads Up!

Evolve courses created in Intellum can also be published for use outside of the platform (SCORM, Web and Offline), or for use in a different Intellum account - if needed.


Inline Mode & Completion Method

Check the following items in Evolve before syncing an Evolve course in the Intellum platform; doing so helps ensure your Evolve course will functions as intended:

  • Enable Use Inline Mode on the Publish page in Evolve - if needed:
  • Select a Course Status setting to set a method for course completion:

Heads Up!

Course Status settings in Evolve have moved to the Behaviour tab found in Course Settings.

Once a completion method has been set, return to the Publish page to proceed with viewing the activity in the Intellum platform.

Sync Evolve Edits to Exceed


When you return to the Evolve course in Intellum, you will find a Sync Updates option available in the Compose tab - as seen below:

Select Sync Updates. This pulls any edits or updates you've made in Evolve directly into the Intellum platform.

Once all updates have been synced, you will see All Updates Synced reflected in the sync status area.

Launch Evolve Course as Student


Once your edits or updates have synced successfully, you can preview your Evolve course in the Intellum platform.

Preview your Evolve course in Learner View by selecting Launch as Student from the Compose tab.

  • Review the course in Learner View to ensure edits/updates have correctly synced from Evolve.
    • If your course is set up as an Inline Evolve course, ensure that the course loads appropriately in the Intellum platform.
    • Ensure that the Completion settings set on your Evolve course functions as you intend.

How can I view all Managed by Exceed courses in Evolve?

From the Course page in Evolve, you can filter your course search to find view all of your Managed by Exceed courses.


How can I check which courses are Synced to Exceed?

From the Course page in Evolve you can filter courses by the Course State of Synced to Exceed. A Synced to Exceed course state is the same as the Published state, but specific to Managed by Exceed courses.


What if I want to use my Managed by Exceed course in a different Exceed instance?

Evolve courses created in Exceed are directly linked to the original Exceed instance they were created in. Managed in Exceed courses and your Exceed instance have a 1 to 1 relationship.

To use Managed by Exceed courses in another Exceed instance you can publish courses using the Direct Publish option or as a .zip files that can be manually uploaded to another Exceed instance.


Is my course in Exceed the same as my working copy in Evolve?

When you sync your Evolve course in the Intellum platform it takes a snapshot of your course and publishes it to Exceed. This means changes in your Evolve course won't affect the course published in Exceed until the course is synced.


What if I try to delete an asset associated with a Managed by Exceed course?

If an asset (image, video etc) is being used in a Managed by Exceed course that's synced with Exceed, it cannot be deleted in Evolve. You will receive a warning message to let you know the asset is associated with a Managed by Exceed course.


What if I replace an asset associated with a Managed by Exceed course?

If you replace an asset that is being used by a Managed by Exceed course, it will update the asset everywhere it is being used. Once the asset is replaced, go to the Activity in Exceed and sync the updates to pull it into Exceed.


How do I delete a Managed by Exceed course?

It is not possible to delete a Managed by Exceed course from Evolve. To delete the Evolve course, the activity must be deleted in Exceed.
